University - University Union 2 - Raffles are illegal and cannot be held on campus. 3 - All food arrangements must be approved by Sodexho. (This includes pot luck dinners). 4 - Groups who do not show up for tabling will lose tabling privileges for the current semester. We only allow one type of sale per day (1 bake sale, 1 flower sale, etc) so there's no competition for sales between groups. 5 - Rooms 324 & 325 are set up in "chairs in rows" style. If you move the chairs during your program, they must be put back in rows when you are finished. 6 - Before you can show a movie on campus you will need to show proof that you've obtained permission. A signed confirmation will need to be returned to UU-W205 before your reservation is valid. Rules for showing movies can be found here MOVIE LICENSING. 7 - All University Union rooms are kept locked. To get into the rooms, go to the information desk to have the student manager open the door. 8 - If you need sound equipment in the University Union, contact Carl Darling at 777-4473. If you need any equipment in a room outside of the University Union, contact Educational Communications. 9 - Student groups MUST submit vouchers for payment to the SA office. Offices are not allowed to take payment directly from SA accounts. Groups that do not pay bills on time may lose reservation privileges. 10 - This office is in charge of enforcing the University Posting Policy which can be viewed here UNIVERSITY POSTING POLICY. 11 - To see what a specific classroom has for equipment, see ECC CLASSROOMS 12 - Academic A and B are not available for student group use at the present time. 13 - To book a room for a credit course (including review sessions, dissertation defenses, exams, etc), please use this form REGISTRAR CLASSROOM REQUEST FORM - (not for student group use) The
following groups have overdue bills which must be paid before any more
reservations can be submitted. Due to the renovation of the Old University Union (and the loss of most of our space) the process for requesting space will change. Since so many student groups want to meet in the University Union and, since we won’t have enough space to accommodate all those requests, we are not accepting any room requests for meetings in the Fall until Noon on 8/24/08. Also, the requests we will begin accepting on 8/24 will NOT be for weekly meetings but for meetings up until the add deadline which is 9/5/08. We will begin accepting weekly meeting requests at 7pm on 9/4/08. Any weekly meeting requests submitted before 7pm on 9/4 will be discarded. Please remember that, even though your group may have had weekly meetings in the University Union in the past, with the loss of the Old University Union we will not be able to accommodate all those groups. Because of this more groups will have to meet outside the University Union. Also, please remember that each student group is only allowed to have one weekly meeting and weekly meetings can only be a maximum of 2 hours. We realize that the maximum used to be 3 hours but with the closing of so many of our rooms, we have to impose stricter time constraints. We appreciate your understanding
